Region 10 Grants: Closing Out Your Grant
|
Your grant expires at the end of the approved budget and project periods. To close out your grant, you are required to submit all financial, performance and other required reports within 90 days of expiration. During that period you should ensure that all administrative and program requirements have been met. Please refer to your original assistance agreement, and all subsequent amendments, for applicable terms and conditions. During that period you may also make final draw downs from grant funds, and liquidate any remaining expenses pertaining to your project. |  | |
Please Note:
All work paid for with grant funds must be concluded by the end of the budget and project periods. You may not incur any expenses beyond the approved period of the grant agreement.

The forms marked are fill and print enabled. If your version of the Acrobat Reader supports that function, you may also be able to save the document after you have completed it. We have tested it on version 6.0 and it works. |
In general, there are three administrative requirements for closing out your grant:
Final Financial Status Report:
SF-269A (short form) use if your grant did not generate program income.

SF-269 (long form), use if your grant generated program income. |  | Fill out the form completely and accurately, after all financial transactions have been completed.
Include information on indirect costs charged to the grant, including the rates used, the base amount against which the rate was applied, and the amount charged. |

Small and Disadvantaged Business Utilization Report (MBE/WBE):
For reporting form and more information please see EPA's Office of Small and Disadvantaged Buisiness Utilization Homepage |  | Depending on the type and length of your grant, this may be the last in a series of quarterly or annual reports, or the only report you will file. Refer to the administrative terms and conditions for your grant.

There may be other administrative requirements for close out. Check the administrative terms and conditions on your original award agreement and subsequent amendments. Submitting all required administrative reports and forms together will expedite the close out of your grant. Delay in closing out your grant may affect the award of pending or future assistance agreements to your organization.
Note: Please do not submit administrative reports or forms to your EPA Region 10 Project Officer. Doing so may delay close out of your grant. Please provide final programmatic documentation (such as Performance Reports) to your EPA Project Officer.
When close out of your grant is completed, you will receive written confirmation from EPA.
