Lifecycle of a File in the WebCMS
WIP > Staging > Approved > Active > Expired
Definitions:
- WIP – Work In Progress. This is both a phase and a server. A file, after creation, on web view will create a WIP version of the file. The file is published from the WIP server. The file is in the WIP phase of the lifecycle.
- Staging – A file when it is ready for a review is placed in a workflow. Once the workflow is initiated the file is moved from the WIP server to the Staging server. The file is in the Staging phase of the lifecycle.
- 1 Step Workflow – a workflow that allows anyone in the webmaster group to publish a file directly to buckeye without going through additional approval steps. This provides the ability to respond to urgent requests for web posting.
- 2 Step Workflow – Workflow that moves the file from the author to an approver. After the file is approved it moves to Active (public server).
- 3 Step Workflow – Workflow that moves the file from author > approver > webmaster. This allows the webmaster to make any last edits such as adding a missing Exit EPA tag to a link leaving the EPA site. After the webmaster approves the file, it moves to Active (public server).
- Approved – we never really see the Approved state. It occurs in cases such as a press release is prepared to be released but is embargoed until an agreed time. The WebCMS allows you to set up a publishing time in the future. The file that’s been approved but has a publish date in the future, is in the Approved phase of the file lifecycle.
- Active – Active files are published to the public server. If you were to web view an active file, you will be looking at the file on http://www.epa.gov/. The file is in the active phase of the lifecycle.
- Expired – Files that have completed their lifecycle on the website are “Expired”. This will remove the file from the public server. A copy of the file still lives in the WebCMS. The file will remain in the expired phase of the lifecycle while it remains on the WebCMS system.
