Creating (not Migrating) a Site in the WebCMS

WebCMS Web Site Creation Checklist

This list is for sites that will be recreated manually in the WebCMS. Recommended for tssms with less then 50 HTML and 50 PDF files.

  1. Office/Region review content inventory, Maxamine and Rotweiller Reports
    • Clean up ROT content (Redundant, Outdated, Trivial). The Rottweiler reports Entering Intranet help each TSSMS identify ROT.
    • Identify duplicate files by evaluating your inventory and deciding what moves to the new environment.
    • Delete outdated image files.
    • Check and repair broken links after cleaning up ROT. Maxamine reports contain broken link information.

  2. Clean your code on existing pages. Tidy Site Scan Reports for each TSSMS.
    • Fix PreTidy Errors
      • PreTidy Errors include illegal file names. The PreTidy list shows HTML file names and non-HTML file formats with spaces, & and other punctuation that create illegal file names. Files with illegal names can not be moved to the WebCMS.
    • Fix PreTidy errors. For our purposes only the errors matter, ignore the warnings.
    • If you would like a TIDY scan rerun for a tssms (after clean up), send a request to Judy Dew or Susan Fagan.
    • Tidy Reports exit EPA are also publicly available.
  3. Office/Region identifies final set of content for site.
  4. Office/Region fills out migration spreadsheet for all migrating HTML and PDF files and sends to metadata coordinator, Susan Fagan.
  5. Office/Region identifies Primary Alias/Folder in WebCMS
    • Think about what the folder layout for your area.
    • Identify the folder administrator for your web area.
    • Think about the roles in the WebCMS (.doc) and who should be in which role.
  6. Office/Region completes start up kit ??
  7. Office/Region trained on Web CMS authoring, publishing.
  8. Create folder in webCMS (Request for a new Folder / Area (blank) [.doc] | Request for a new Folder / Area (example) [.doc]).
  9. Create areanav file in folder. The areanav file contains all of the information that's related to the web area (e.g., sidebar links, area search code, contact us links, local style sheet, etc.) The areanav.xml is created/modified by the webmaster for an area.
  10. Create the .xml content files in the WebCMS for each .html file
    • Create managed links in your documents
    • The WebCMS publishes in .html only.
  11. Account for pages with javascript.
    • All inline JavaScript code needs to be moved to external files
    • Javascript in header section needs to be added to the Javascript tab
  12. Office/Region reviews content and validates metadata. Checks links too.
  13. Office/Region approves migrated files and metadata for publishing.
  14. Add code to .htaccess file to point all .htm to .html. Can skip this step if you don't have .htm files.
  15. All future content is created and published from WebCMS.
    • Make sure your personnel are trained for their respective roles.
    • Consider adding additional content authors—the WebCMS makes page creation much more straightforward for nontechnical personnel.
    • Shift your focus from managing look and feel to managing the content and its metadata.
    • Invest saved Webmaster time in improving our visitors' ability to discover and access the information they need to complete their tasks at www.epa.gov and keeping content current and accurate.
    • Begin rigorous Records Management practices, through the WebCMS connection with the EPA electronic records-management systems (when supported).
